Business Operations Specialist

Hiring a full-time Business Operations Specialist to support the founder of a fast-growing fundraising consulting firm that helps nonprofits, schools, and mission-driven organizations raise capital. This role is heavily focused on operations, systems, and process improvement. You’ll work directly with the founder to organize the back end of the business, build SOPs, automate repetitive tasks, and create scalable processes that support continued growth. The ideal candidate is proactive, highly organized, and enjoys bringing structure to fast-moving businesses.


Key Responsibilities:
  • Build and document SOPs across the business, including client onboarding, invoicing, billing, and internal operations.
  • Create and improve operational systems that allow the business to scale efficiently.
  • Develop and maintain client onboarding processes from initial engagement through implementation.
  • Manage invoicing, billing, and internal administrative workflows to ensure accuracy and consistency.
  • Identify repetitive tasks and build automations to eliminate manual work.
  • Work directly with the founder to organize priorities and improve day-to-day business operations.
  • Document existing processes and continuously refine them as the business grows.
  • Utilize AI tools to significantly improve workflows, documentation, and operational efficiency.
  • Assist with some scheduling, calendar management, and other executive support tasks as needed.
  • Support client-facing operations as the company continues to grow.
Key Qualifications:
  • 3+ years of experience in project management, operations, or business operations.
  • Experience building SOPs, documentation, and scalable internal processes.
  • Strong operational mindset with the ability to create order from ambiguity.
  • Experience improving workflows through automation and process optimization.
  • Comfortable learning and leveraging AI tools.
  • Highly proactive with exceptional attention to detail.
  • Exceptionally strong written and verbal English communication skills.
  • Able to work independently with minimal direction in a startup or consulting environment.
Nice to Have:
  • Experience working in a consulting, agency, or professional services business.
  • Familiarity with nonprofits, fundraising, philanthropy, or higher education.
  • Experience implementing workflow automation tools.
  • Previous experience supporting a founder or small business owner.
